GENERAL INFORMATION

Presidents Letter

Please read the presidents letter about registation at the Park Vista and important information about the clinic.

CANCELLATIONS should be reported as soon as possible as follows: Band cancellations report to the Band Chairman, Steve Taylor; school phone 671.7135, email; staylor@farragutband.org. String cancellations report to the Orchestra chair, Debra Patterson; school phone 671.7021, email; pattersondkc@yahoo.com. The band and orchestra chairs will make substitutions with students having the next highest tryout scores. No substitutions will be made by directors. You will be notified by phone as soon as possible.

REGRISTRATION will begin at 6:30 pm in the lobby of the Park Vista Hotel on Thursday, February 7, 2008. There is no school fee, only a $10.00 per student fee payable at registration in one check payable to E.T.S.B.& O.A.

DIRECTORS SHOULD DOWNLOAD THEIR ALL STATE FORMS FROM THIS SITE. STUDENT FORMS WILL BE PASSED OUT AT THE ALL STATE MEETING.    Director All State Form


MUSIC TO BE ADDED TO THE ASSOCIATION LIST, must be filed at the registration desk on Thursday evening, February 7, 2008 with a recommendation form enclosed. Music received at this time will be graded by the music committee and added to the Association Music List. Directors are responsible for picking up their scores after the general meeting on Friday February 8, 2008. If you submit a score please be at the meeting to pick it up. We can not be responsible for scores left behind.

BOARD OF DIRECTORS will meet on Thursday, February 7, 2008, Time and location to be announced.

ALL STATE MEETING will be Thursday Feb. 7, 2008, 10:30 PM. In Gardenview A & B. Directors must pay their $60.00 registration fee as well as the $40.00 per student in All State. There is no school fee for All State this year. DIRECTORS MUST HAVE THEIR MENC MEMBERSHIP NUMBER WITH THEM. The registration fee for spouses is $15.00.
Only directors registering students for All State may register for the convention at this meeting. All others must either register for the convention at the TMEA web site or at the convention.

CONCERT DRESS for band students will be the school band uniform. If the school does not have a uniform, boys should wear a dark suit, white shirt, dark tie, and dark shoes. Girls should wear a dark dress with dark shoes. Orchestra students; boys should wear a dark suit, white shirt and dark shoes. Girls will wear a long black skirt, black blouse and dark shoes, or long black dress and dark shoes.

E.T.S.B.&O.A. WINTER GERNERAL MEETING will be held Friday February 8, 2008, 7:00 P.M. in the Gardenview room A&B.

TARDINESS AND CANCELLATIONS: All directors are reminded to review the policies and regulations regarding our clinics. Notice especially the section pertaining to penalties for tardiness to rehearsals and for director’s failure to notify the band or orchestra chairman in the event of student cancellations. It is very important that the directors notify the band or orchestra chairman as soon as possible about cancellation so alternates can be contacted. Students who are late to rehearsal or absent without a reasonable excuse may be placed at the end of their section or asked to leave the clinic, which in some cases could jeopardize All State eligibility.

SPECIAL REMINDERS TO DIRECTORS AND STUDENTS

    Each percussionist must bring his/her own snare drum and stand, along with appropriate sticks, timpani mallets, pitch pipe, and appropriate mallets for bells, marimba, vibraphone, xylophone, and chimes.
    Each student must furnish their own music stand. Wire stands are acceptable.
    Students are not to mark on music unless told otherwise. Folders should be handed in after the concert.

DIRECTOR WORK SCHEDULE AND DUTIES

If this clinic is to be successful, it is the responsibility of each and every director to do their part.
Please check the work schedule for your assigned duty. If you cannot be at your designated location at the time assigned, it is your responsibility to find someone to take your place. A work schedule for each band will be available and should be left on the conductors podium.



Before each rehearsal:

    Check roll
    Make sure folders are passed out
    Greet clinician, see if they need assistance

After each rehearsal:
    All folders are to be left
    Remind students of schedule and rules

Friday evening:
    Take up music folders to be picked up by Band or Orchestra Chair
    Remind students of schedule for Saturday
    Have students take all instruments and personal items to their rooms
    Help percussion coordinators load up equipment

Percussion: Austin Williams and Chuck Yost will coordinate percussion equipment and workers for each rehearsal, with special attention given to the first rehearsal Thursday night.

All State meeting for Directors, students and alternates 10:30 Gardenview Room Attendance is required.

Hotel curfew is 11:00 PM! It is each directors responsibility to make sure students are representing our association in a professional manner.

Under no circumstances should an instrument be played in the hotel room or in the open atrium of any floor. This may result in being removed from the hotel.

Friday Evening, February 8, 2008 7:00-9:00
The Friday Evening schedule is during the Winter General Meeting. It is ok for directors scheduled to work to trade off to attend the Winter meeting. Make sure one director is in the rehearsal room. It is also important that the Friday evening rehearsal goes till 9:00PM. Do not let the students leave the rehearsal room before 9:00PM.

Saturday Morning, February 9, 2008

Workers for the morning rehearsal: Each ensemble will have a 30 Minuet run-through rehearsal. Set up for each group, pass out music, rehearse for 30 minutes, take up music, remind students of warm-up time and location, dismiss, start all over again. It is essential that we stay on schedule!
