Meeting Minutes:
Meeting called to order at 7:03p

Review notes form Joe on financials:
1. The new process of funneling student fees through the school and requesting payments through the school seems to be working fine, although it eliminates any visibility we formerly were able to give Mr. Rogers regarding operations funds.
2. We do not have a financial summary for the booster account as Joe has not received any information in recent months on deposits related to the fruit sales or other fundraising
3. We have not seen a check from Riversweet for the early pay discount.
4. We have only transferred $3400 of our budgeted support for the operations fund, plus $5000 toward the student dues out of the fruit profits. Joe is waiting for final fruit numbers to complete the final transfer for the fruit profits.
5. The bank statement shows $30,550 in the support account. Of this amount, approximately $13,000 still needs to be transferred to the operations account to pay student dues from the fruit sales. Approximatley $5000-$6000 was spent on lodging for the Senior clinic.
6. The tax return has not been filed yet. Joe asked Carol for an update.
7. Joe has not seen any deposits come through the PO box for the Patron Fund. Joe cleared the mailbox today. Back in December, we had a large number of patron fund letters returned as undeliverable. Those were turned over to Stan Crawford, who normally works with Cameron on this. As of now, the financial records are showing zero Patron fund donations.
8. Mr Misner brought a donation from his company, Magellan Terminal Holdings, LP to the booster meeting.
Additional conversation related to Treasurer notes:
$2750 in fee waviers have been received
We need to follow up with Riversweet on the rebate for early payment, the Royses will follow up along with Stan Crawford.
UT Concessions - no check from Nick in recent histroy, Kim will follow up to see what is going on
Update on communications to 8th graders - Charlotte Jensen - Charlotte spoke at middle school concerts and handed out a flyer with information and contact details to begin a communication channel with the rising freshman. Seems to be well received, with a few questions trickling in. Charlotte is planning to attend future concerts and parent meetings to continue this communication effort Ron Rogers also mentioned that he will plan on sending some kids over to talk with the 8th graders.
Hospitality update from Joy - No food needed at the Feb 22nd concert. There will be food at that March concert, will it be on March 23rd? need to confirm date and time on the march concert.
Band Banquet has been scheduled and will be May 7th at 6:30p at Rothchild's
Officer and Committee Chair update from Tina - we have several openings and some are key openings such as AP / Treasurer. Need help ASAP to identify candidates for these positions
Rossini Festival is April 24th, FHS will be one of the final acts, near the Bijou Theater.
Ron gave several updates including the number of kids that made Junior Clinic, Senior Cliinic, Jazz Clinic and All-State. FHSagain had one of the largest number of students in these events.
Ron asked if the boosters would be willing to buy dinner for the symphonic band during the CBDNA trip. Robin motioned to agree with this request, Jeff seconded, motion passed unanimously
Ron also requested a decision and funding to support either refurbishing existing or purchasing of new sousaphones given the number of non-working sousaphones currently owned by the school. This season we had students marching with broken horns...refurbish of existing has been estimated at $3600. Purchase of new Tuba Exchange brand has been quoted at $3,495. Tuba Exchange produced the existing concert horns and these new sousaphones appear to be a good alternative to buying King and Conn and other more expensive brands. Jeff will talk with Joe regarding this to see where the finances truly sit, but the booster agreed that purchasing new was the correct path to pursue. This will need to be discussed and finalized in the next booster meeting.
